Administrative & Finance Assistant

Main Tasks & Responsibilities:

  • Develop and maintain a virtual office filing system;

  • Manage project calendars and schedule of appointments; 

  • Organize audio and videoconferences;

  • Maintain and update project files, including tracking project data, progress reports, work plans and budgets in compliance with the project guidelines;

  • Track project expenditures and monitor the expenditure as per project budgets; organizing all program receipts and expenses associated with each project;

  • Perform all financial duties including accounts payable, accounts receivable, payroll, and required remittances;

  • Produce monthly financial reports;

  • Assist in writing project proposals;

  • Prepare power point and other presentations such as webinars;

  • Monitor social media communications;

  • Carry out any other duties as required by the project management staff


Qualifications and Experience:

  • Relevant post-secondary education with a strong preference for financial programs considered an asset;

  • Minimum of 3 years of experience in administrative and financial roles;

  • Must be proficient in Microsoft Office: Excel, Word, Outlook, Powerpoint and Adobe Acrobat;

  • Knowledge of Sage software considered an asset;

  • Knowledge of virtual meeting software;

  • Strong written and oral communications skills;

  • Ability to organize effectively, work under pressure with attention to detail, precision and accuracy;

  • Good listener and fast learner, able to take direction and follow tasks through to completion;

  • High level of professionalism and positive attitude;

  • Discreet and respectful of confidentiality;

  • Self driven, highly motivated and able to work independently from home;

  • Flexible and adaptable, able to work well autonomously and as part of a small team;

  • Demonstrated knowledge and understanding of the culture, history and current oppressions experienced by Indigenous people

  • Demonstrated knowledge and understanding of the culture, history and current oppressions experienced by Indigenous people with respect to gender identity, gender expression and sexual orientation;


  • The Administrative and Financial Assistant will work virtually from their home. It requires access to a reliable internet and phone connection. This is a full-time position (37.5 hours per week).
